Win the work. Deliver it. Bill it. All in one place.
Every stage of a service engagement — enquiry, proposal, delivery, time, invoice, support — runs on shared data, context, and AI. One system, not a stack of disconnected apps.
Sales
Kanban pipeline with audit trail, AI deal scoring and forecasting, subscription line items with MRR normalisation, and Google Places / LinkedIn enrichment.

Complete chart of accounts, unified invoicing and AP/AR, AI anomaly auditing that flags but never auto-adjusts, bank reconciliation, and full AU & NZ payroll.
Marketing
Campaigns, drag-and-drop forms, landing pages and websites, email sequences with branching, plus Google Ads and Meta Ads integration.
Workflows
Visual automation canvas with 10 trigger types, AI action steps, branching, delays, and merge fields.
Comms & support
Two-way Outlook sync, real-time notifications, and a full help desk with AI triage, suggested resolutions and CRM-linked context.
Run a whole group of companies as if it were one business
Most platforms make you stitch separate accounts together with spreadsheets at month-end. Allwis treats the group as a first-class structure — spin up a new entity top-down, trade between them, and consolidate the full picture in minutes — across Australian, New Zealand, US and UK entities.
- Top-down entity provisioning — a new company gets its full chart of accounts, tax setup and defaults in one click
- Intercompany trading with automatic elimination at consolidation
- FX translation, unrealised profit deferral, and non-controlling interests
- Portfolio and investor layer — capital accounts and ownership-weighted reporting
- One ledger, every view: drill from group report to a single transaction
AI that knows your whole business
Every AI feature has cross-module context — not just the screen you're on. The principle: suggest, flag, draft. Never auto-act.
Concierge command bar
Hit Cmd-J anywhere and ask in plain English. The Concierge plans the steps, shows exactly what it will do, and only acts once you approve.
Your model, your data
Run it on Claude, another leading model, or a private LLM inside your own network — with a local model, your data never leaves your environment.
Governed AI controls
Turn any AI feature on or off per workspace, force PII masking on sensitive tasks, and audit every AI call.
Every feature, module by module
The whole platform — CRM, finance, payroll, jobs, marketing, websites, helpdesk and compliance, with AI built into each. This list stays in sync with the product automatically.
CRM & Sales
From first touch to closed-won, on one pipeline with the context already attached.
Organisations & Contacts
Companies and the people inside them, auto-filled from Google Places and enriched from LinkedIn so records start complete.
NDAs & Agreements
Send a mutual or one-way NDA to a customer or supplier from their organisation record: you sign, they sign from an emailed link with no login, and the executed copy is filed against them with a certificate of who signed, when and from where. Or upload your own licence, service or other agreement and have it signed the same way. Your customers and suppliers read, sign and keep every agreement in their client portal.
Revenue by Client
See what each organisation has actually been worth — the ex-tax value of every invoice you have issued them — right on the contacts list, and order the list by it. Highest first finds the clients worth protecting; lowest first surfaces the ones you have never billed at all.
CSV & Excel Contact Import
Bring organisations and people in from any system — columns like company, contact name, email, phone and address are detected and mapped automatically, with a review step before import.
Merge Duplicate Records
Fold two copies of the same organisation or person into one. Pick which record to keep, and every email, task, ticket, invoice, meeting and document on the other moves across, blanks on the kept record are filled in, and an unsubscribe on either copy stays in force. Old links to the merged record redirect to the one you kept.
Duplicate Contact Finder
See which people appear twice — the same email address, the same LinkedIn profile, the same phone number however it was typed, or the same name at one organisation — with the reason beside each pair, and merge the ones that really are one person. Likely shared mailboxes and switchboards are flagged rather than proposed. The same scan lists people with no way to reach them, an email that cannot be delivered to, or a phone that cannot be dialled, and its headline count appears on Tenant Health.
WhatsApp a Contact
Message a contact on WhatsApp straight from their record — the number and your draft open in your own WhatsApp, and the outreach lands on the contact's timeline.
Document Requests
Send a client a checklist of the documents you need. They upload each one in their portal, you accept it or send it back with a reason, and the request closes itself when everything required is in. Reminders go out on the cadence you choose, so nobody has to remember to chase.
ARR & Movement Analysis
Annual recurring revenue as at any date, and a bridge explaining every dollar of the change between two dates — new logos, reactivations, upsells, price rises, price cuts, downgrades and churn — plus net and gross revenue retention. Multi-year contracts carry dated price steps, so an annual uplift is reported as the uplift it is. Figures are stated in one currency at one rate, so exchange movement is never mistaken for commercial performance.
See it live — watch the ARR & Movement Analysis videoRenewal Forecast
How much recurring revenue is still under contract each month for up to five years, and what renewing it would replace. Set a renewal rate and a price uplift for the whole organisation, for a customer segment, for an entity, or for one contract you know is leaving — the most specific rule wins, and the report shows how much of the book each rule is deciding. Rates are stated per year and converted to each contract's own term, so a monthly agreement and an annual one are not forecast differently for the same business. Contracted and projected figures are shown separately everywhere — one is signed, the other is an assumption you set. A cash view shows the same window as money in the bank rather than revenue earned, billed on each contract's own anniversary and dated by your standard payment terms — so an annual plan appears as one payment rather than twelve, which is the difference a subscription business plans around.
Sales Pipeline
A drag-and-drop Kanban with enforced stage progression, full stage history, MRR tracking, and forecast categories.
Revenue by Person
What each person's relationships invoiced over any period, beside the value of the time they personally put in — ex-tax revenue, their share of it, how many invoices, and their own billable hours at the rate locked on each entry. An invoice belongs to the owner of its deal, or failing that the lead on its job. Revenue that fits neither is listed on its own line rather than shared out, so nobody's figure is flattered by work that might not be theirs. The invoice-level detail sits under the summary, each line saying how it was attributed.
Sales Team Performance
Every salesperson side by side for any period: open pipeline and won revenue, win rate, average days to close, deals sitting untouched, and the recorded activity behind those outcomes — calls, emails, meetings and proposals. Calls placed through the dialler and calls logged by hand are counted separately, and a rate with nothing behind it is left blank rather than shown as zero.
Sales Targets & Pipeline Coverage
Set each salesperson a recurring-revenue target for a period and see attainment beside it, plus how many times over their open pipeline covers what is left to win. Targets are pro-rated when you look at part of a period, so the target and the revenue always measure the same stretch of time, and anyone without a target is left out of the team figure rather than flattering it.
Custom Pipeline Stages
Name your own sales stages and put them in the order you actually sell in. Each entity can run the default pipeline or define its own, so a group company that sells differently isn't forced into someone else's process. Won and Lost stay fixed, because invoicing and commission depend on them.
AI Deal Scoring
AIThe AI scores each deal and suggests the next step, so reps work the opportunities most likely to close.
See it live — watch the AI Deal Scoring videoQuotes & Proposals
Template-driven proposals with public approval links that auto-generate an invoice — and optionally a job — the moment they're accepted.
See it live — watch the Quotes & Proposals videoRaise a Proposal From Anywhere
Start a proposal straight from a deal or a client record. The client, contact and the deal's products and services are carried across, and the finished proposal links back to the deal it came from.
Edit the Proposal Text
Rewrite a proposal's wording as reorderable blocks of text and bullet points, with the priced items placed wherever you want them. Every change carries through to the client's web version, the PDF and the Word download.
Proposal Document Export
Download any proposal as an editable Word document or a signable PDF, branded to the issuing entity.
Deposits on Acceptance
Require an up-front deposit — a percentage of the total or a fixed amount — collected the moment a proposal is accepted, as a partial invoice or a card charge.
Recurring Billing on a Proposal
Bill an engagement on a cycle — weekly through to annually — instead of once. Set when the first charge falls and when the run ends, and the client's saved card is charged each cycle with its own invoice raised against it. The schedule is previewed before you save: the amount per cycle, the first few dates it falls on, and what the whole term comes to.
Customer Credit Limits
Set a credit limit per customer; when accepting a proposal would push their outstanding balance over it, the acceptance is recorded but the job and invoice are held for a credit review before any work is committed.
Email Sync
Outlook / Microsoft Graph two-way sync threads customer email against the right deal and contact automatically.
Search Your Synced Mail
Find a message by who sent it or by what it says — sender name, address, subject or the body of the email — across everything synced, not just the latest page. Results carry the contact, organisation and deal each message is filed against, and searching for a person also finds the mail filed to them.
AI Email Triage & Draft Replies
AIThe AI summarises each inbound email, flags whether it needs a response, and drafts an editable reply — edit it and send straight from Allwis through your connected mailbox, or mark the email done or irrelevant to clear it off the list.
Add the Sender as a Contact
A new face at a client you already deal with becomes a contact in one step, without leaving your inbox. Their name is read off the email, their organisation matched on the sender’s domain — or created alongside them — and the message is filed against the new contact, as is everything else they send from that address.
Raise a Deal From an Email
AITurn an enquiry into a pipeline deal from your inbox. The AI reads the message and drafts the deal — title, type, the buying context, a close date when the email implies one, and a price only when the email states one — matches the sender to an existing organisation or offers to create it, and warns you if that organisation already has an open deal. You edit the draft before anything is saved, then go straight on to a proposal.
Unified Calendar
One month, week or agenda view across every connected account, plus your bookings, task due dates, guest stays and compliance deadlines on the same grid. Add an event here and it lands on the account you choose, with a meeting link and invitations if you want them.
Google Calendar Sync
Connect as many Google accounts as you like alongside Outlook. Events sync both ways: what changes in Google shows up here, and an event you add here lands in Google with a Meet link and invitations.
AI Call & Meeting Notes
AIPaste a transcript from your notetaker — or type up what was said — and the AI writes the summary onto the contact's timeline, remembers what was agreed, and turns every commitment your side made into a task with a due date.
See it live — watch the AI Call & Meeting Notes videoClick-to-Call
Call a contact from their record. Allwis rings you first, then connects you, so the person you're calling never waits on a silent line. Every call is logged against the contact and deal.
Call Recording & Consent
Record calls if you choose to, with an announcement the other party hears before connecting — or require them to press 1 first, for places where every party must consent. Recording stays off until you turn it on, play any recording back from the contact's own record, and recordings are deleted automatically once your retention period is up.
AI Call Transcription
AIRecorded calls are transcribed with speaker labels, then summarised onto the contact's timeline with tasks for the follow-ups you committed to — the same as pasting in a transcript by hand.
Record Video Meetings
Record a meeting held in Allwis and get the same summary, timeline entry and follow-up tasks. Everyone in the room sees a recording indicator while it runs, and the recording is deleted once your retention period is up.
Turn a Call Into a Deal or a Quote
AIA call that went well shouldn't have to be re-keyed from memory. From any captured call or meeting, Claude drafts the deal to raise — what they want, how many, by when, and a price only where one was actually quoted — and warns you if that customer already has an open deal. You edit the draft before anything is saved. Then go straight on to the proposal, written around what was said on the call rather than a blank page.
See it live — watch the Turn a Call Into a Deal or a Quote videoAsk What a Customer Said
AIEvery call builds up what Allwis knows about that customer — what they asked for, what worried them, what you promised, who decides. Ask the assistant before a meeting and it answers from the calls themselves, quoting the line where each thing was said, instead of leaving you to scroll back through months of notes.
Bring Your Own Notetaker
Already use Fireflies, Otter, Gong, Zoom or Teams? Push those transcripts into Allwis over the API and they're summarised and turned into tasks exactly like everything else.
Finance & Accounting
A full ledger — not a bolt-on. Bank to balance sheet, multi-entity and multi-currency from day one.
Unified Invoicing
Incoming and outgoing invoices in one table with a draft → approve → send → paid workflow and atomic payment recording.
GST-Free Export Sales
Invoices raised to overseas customers default to the GST-free export rate — wherever they come from: manual invoices, closed deals, jobs, timesheets, repeating invoices, event tickets or accommodation bookings. A rate you pick by hand is never overridden.
AI Invoice Audit
AIThe AI reviews incoming bills during approval and flags anomalies — it never silently changes amounts. Findings are AI-generated, so any of them can be re-run: ask for a fresh reading against the current bill, or against a different AI provider you've configured. Every run is kept with the model that produced it.
See it live — watch the AI Invoice Audit videoDuplicate & Statement Detection
AIEmail-imported documents are classified (invoice vs statement vs receipt) and cross-checked against bills already on file, so a supplier statement can't be paid twice.
Bank Reconciliation
CSV / OFX upload with AU/NZ bank-format detection plus the Wise API, reconciled against the ledger. Transfers between group entities post mirrored intercompany journals automatically, and a balance explainer breaks any statement-vs-ledger difference into named causes with guided fixes. Code a GST treatment as you reconcile — defaulted from the account, correctable after the fact, and split out to your GST accounts so it reaches the return. A printable Bank Reconciliation Summary shows ledger balance against imported statement balance as at any date.
See it live — watch the Bank Reconciliation videoPayment Reminders
AIChase an overdue invoice in one click, or ask the assistant to chase every overdue account at once and approve the list before anything sends. The wording is drafted for you and firms up the longer an invoice goes unpaid, and every reminder is kept against the invoice so you can see what a customer has already been sent.
Wise Bill Payments
Pay approved bills straight from your Wise balance, or queue them into a Wise batch to be approved in the Wise app before any money moves — the payment reconciles itself once it settles.
Supplier Detail Chasing
AIBills are checked the moment they arrive for the details a payment will need — bank account, SWIFT/BIC, and the supplier's postal address for international transfers — and the sender is automatically emailed a list of exactly what to fix and resend. If a gap only surfaces at pay time, one click asks the supplier from the payment screen.
Supplier Portal
Suppliers sign in to see every bill they've sent you and where it's up to — received, approved, scheduled or paid, with the payment date and reference. They can send a new invoice by email or upload, and ask to change the account you pay them into — an Australian BSB and account, a New Zealand bank-branch-account-suffix number, or an IBAN with SWIFT/BIC, depending on which of your entities pays them; a change never takes effect until someone on your team confirms it.
See it live — watch the Supplier Portal videoBills Get Confirmed on Arrival
Email a bill to your import address and whoever sent it gets a reply confirming it arrived — and, if anything needs fixing, exactly what: a missing ABN or invoice date, no bank details, lines that don't add up to the total, an invoice you already hold, or an attachment that couldn't be read. One reply per email, sent under the receiving company's name, and repliable — a corrected invoice sent back re-enters the pipeline. Switch it off per company if you'd rather stay quiet.
AI Categorisation & GL Suggestions
AIThe AI proposes the right account for bank transactions and journal lines; a human confirms before posting.
Chart of Accounts & Journals
A full chart of accounts with manual and automated double-entry journals and audit trails. Manual journals carry a GST treatment per line — tax inclusive or exclusive — so an adjusting entry reaches the GST return instead of disappearing from it, and can be flagged to show on cash-basis reports when the journal records money that actually moved.
Audit Log
Every create, change, delete and approval across your financial records, filterable by person, date, record type or the record itself — and showing what actually changed on it, field by field, old value to new. Export the filtered trail as CSV for a reviewer or an auditor.
Spreadsheet Workpapers
Build schedules and calculations in a built-in spreadsheet and attach them to journal entries — each attachment freezes an immutable copy, so the numbers behind an entry can't silently drift.
See it live — watch the Spreadsheet Workpapers videoIndustry-tailored starter chart of accounts
New entities start empty; generate a standard chart of accounts tailored to the entity's industry and country in one click, or import your own from Xero, QuickBooks or CSV.
Purchase Orders & 3-Way Match
Raise POs, receive against them, and match incoming bills on order ↔ receipt ↔ invoice — optionally blocking approval of any bill that exceeds the PO amount or the quantity received, beyond a set tolerance.
Purchase Orders from Emailed Quotes
AIA supplier's quote arrives in your inbox; raise the purchase order from it without retyping a line. The quote's PDF is read for the supplier, reference, validity date and every priced line, each coded to a suggested account, and an expired quote or a currency that isn't yours is called out. You review the whole order and it saves as a draft — nothing is sent to the supplier on its own.
Verified Vendor Bank Details
A supplier's payout account must be verified once before any Wise payment, and a bill whose bank details differ from the verified account is flagged as possible invoice-redirection fraud instead of being paid.
Revenue Recognition
Spread invoiced revenue across the period it is actually earned in — straight-line across a subscription term, on a delivery date, or by milestone for services. The contract dates already sit on the deal behind the invoice, so scheduling one is a confirmation rather than data entry. A monthly run posts the journals, and a deferred revenue rollforward shows opening, deferred, recognised and closing beside the ledger balance, so the two can be seen to agree. When a delivery date moves, the periods that have not been recognised yet can be re-dated or re-split; what has already posted stays where it is, and the total cannot change.
See it live — watch the Revenue Recognition videoPrepaid Expenses
Spread a cost paid up front — insurance, an annual licence, rent in advance — across the months it is actually consumed in, instead of expensing the lot in the month the bill arrived. Straight-line across a service period, on a single consumption date, or by milestone. A monthly run posts the journals, and a prepayments rollforward shows opening, capitalised, amortised and closing beside the ledger balance, so the two can be seen to agree.
Financial Reporting
P&L, Balance Sheet, Cash Flow, Aged Receivables and GST/VAT returns, exportable as PDF, Excel or CSV — amounts export as plain numbers, so a downloaded report drops straight into your own formulas.
Comments & Tasks on Report Figures
Click any figure on a report to leave a comment on it, the way you would in a spreadsheet, or raise a task against it that lands in the normal task list and assignee's inbox. A corner marker shows which figures already carry one, comments are stored per figure and per period so they can be listed and searched later, and a note records the number it was written against in case a later journal moves it.
See it live — watch the Comments & Tasks on Report Figures videoAllwis for Excel & Google Sheets
Insert any report — statements, budget vs actual, or your own custom reports — into your own workbook as a live table with a native chart, and refresh it in place. It runs as you, so it returns exactly what your permissions already allow, and signing in uses a one-time code rather than storing a password in the file.
See it live — watch the Allwis for Excel & Google Sheets videoAI Commentary on Reports
AIAdd a column of short plain-English notes to any report, written by the AI from the figures already on the page. It never states or recalculates a number, the column is labelled as AI-written wherever it lands — including in Excel and Google Sheets — and it can never be summed into a subtotal.
Budgets & Forecasts
Monthly budgets and forecasts drafted from your own journal history plus contracted subscriptions and stage-weighted pipeline — refined in an editable grid, with one-click rolling re-forecasts, a monthly budget-vs-actual report (single entity or group roll-up, with PDF/Excel export) and alerts when actuals drift off budget. Any budget, forecast or what-if comparison can also be dropped straight into the Profit & Loss as a comparison column, beside prior periods.
See it live — watch the Budgets & Forecasts videoProjected Balance Sheet & Cash Flow
Turn a budget or forecast into a full projected balance sheet and indirect cash flow statement. Your actual balance sheet the day before the projection starts is rolled forward by the budgeted result, debtor/creditor/inventory days, and a schedule of capital spend, depreciation, debt, capital and distributions — with cash derived as the balancing figure, so the projection balances by construction and says so on screen when it does not. Compare any month against the real balance sheet as another column.
What-if Comparisons & AI Budget Review
AICompare what-ifs against a budget — revenue pushes, price rises, new hires — with live profit, margin and indicative cash impact, then adopt the one you want. The AI reviews budgets, comparisons and monthly variances and proposes refinements you accept or dismiss; it never changes numbers itself.
Month-End Close
A close cockpit that checks bank reconciliation, drafts, depreciation, FX revaluation, payroll and intercompany balances, then locks the period against back-dated posting.
Multi-Entity & Multi-Currency
Run a group of entities each in its own currency, with foreign-exchange handling, AU/NZ GST/VAT, and per-entity charts of accounts, tax rates and product catalogs built in from day one.
Guided Setup for Every New Entity
Adding an organisation opens its own setup checklist — chart of accounts, tax rates, data import, opening balances, bank accounts, intercompany pairs and team access — tracked per entity, so the second and tenth organisation get the same guided start as the first.
US, UK & German Entities (early access)
Add a US, UK or German subsidiary to your group: USD/GBP/EUR books on a local chart of accounts, local-format invoices (EIN / VAT number / USt-IdNr), and a jurisdiction compliance calendar (US: Forms 941/940, W-2, 1099-NEC; UK: VAT, PAYE/NIC, Corporation Tax, Companies House; Germany: USt-Voranmeldung, Körperschaft- & Gewerbesteuer, Bundesanzeiger).
Multi-Entity Consolidation
FX translation, intercompany elimination and non-controlling interest, rolled up into one set of group reports.
See it live — watch the Multi-Entity Consolidation videoIntra-Group Trading Eliminated Automatically
Tell Allwis which customer records are your own group companies and invoices between them post straight to intercompany accounts — so consolidation removes the sale and the purchase as well as the debt, and group revenue never counts what the group billed itself.
Investment Elimination with Goodwill and NCI
Enter what each subsidiary cost and when you acquired it, and Allwis prices the entry that cancels the parent's investment against the capital it bought — pre-acquisition equity only, goodwill or a bargain-purchase gain, and non-controlling interest at either its share of net assets or fair value — for review before anything is posted.
Consolidated Trial Balance Workpaper
The working paper behind the group figures: one row per account, and for every organisation what its own ledger says, the exchange rate applied and the translated amount — then the eliminations and the group total. Each elimination opens to the adjustment behind it, and the debit and credit checks are stated on the page. Exports to Excel with a second sheet laid out for pivoting.
One View Across Every Client You Advise
Accountants and bookkeepers working across several organisations get a single client list showing what is waiting in each — transactions to reconcile and how far back they go, invoices and bills awaiting approval, and overdue receivables in that client's own currency — sorted busiest first, with one click into any of them.
Tracking Categories
User-defined dimensions (property, region, department, …) tagged onto journal, invoice and bank lines — per line, per whole invoice, or applied automatically from defaults held against the product sold, the job or deal the work belongs to, or the supplier a bill came from — exposed as filters across reports, with configurable allocation of shared amounts (in full, equal split, or proportional to an account group).
Migrate from Xero, Zoho Books, MYOB or QuickBooks
Bring your chart of accounts, contacts, opening balances and historical account transactions across — a direct Xero, Zoho Books or QuickBooks Online API import, or a guided CSV import for any other system.
Guided cutover planning
Choose your cutover date and how many prior financial years you want, and the wizard works out the rest — which period comes across as a summary, which needs transaction detail, and the date your trial balance has to be taken so a year's profit isn't counted twice. Every later date field is filled in for you.
Go-live reconciliation report
A standing report, alongside your P&L and Balance Sheet, that proves the cutover tied out — opening balances, control accounts and migrated totals checked against the ledger, each line marked pass, review or fail, and exportable as cutover evidence. Read-only: it never posts an adjustment.
Parallel-run top-ups
Keep your old system running alongside Allwis for as long as you want to. Each month, upload a fresh export and Allwis tells you what is new before it imports anything — what it already has, what has been edited since, and what it would bring in. Overlapping dates are safe, and it refuses outright if importing would double-count something you have already entered in Allwis.
Migration verification
After a Xero import, compare your Allwis ledger against Xero account by account — balance sheet balances and financial-year P&L movement — with variances flagged and P&L and Balance Sheet totals side by side.
Payroll & HR
Pay people correctly in Australia and New Zealand, with the compliance built in.
PAYE / PAYG Payroll
Pay runs with PAYE/PAYG tax, KiwiSaver and Superannuation calculated for each employee.

Export an ABA direct-entry file to pay an AU pay run through your bank.
STP Phase 2 Files
Build the ATO's STP Phase 2 pay event, update and finalisation files, ready to lodge through your registered gateway.
Leave & Pay Slips
Leave management, accruals and per-employee pay slips.
Commission Tracking
AIAuto-calculated commission on paid invoices, AI-audited and held for human approval before payment.
Employee Portal
A self-service portal where staff view pay slips, leave balances and timesheets. Signing in takes the emailed login link plus a passkey tap on the employee's own phone — fingerprint, face or screen lock, nothing to install and no codes — and payroll can reset a lost device. Link a team member's login to their payroll record and they go straight in from their approved Allwis sign-in; contractors get the same portal with leave left out.
Smart Expense Claims
AIStaff snap a photo of a receipt and AI reads the merchant, amount, date and category to prefill the claim, ready for approval.
Payroll Onboarding & Migration
Bulk-import employees and opening leave balances from a CSV or Excel export with automatic column mapping, and record mid-year YTD opening balances so cutover from a previous payroll system reports correctly.
Employee Contracts & E-Signing
Generate contractor and employment agreements from each employee's record — using your own contract template with merge fields, set per entity or org-wide, or the built-in standard form. Send for signature natively or via DocuSign, and optionally block payment until the contract is signed.
Jobs & Time
Quote it, schedule it, do the work, and bill the time back out — without re-keying anything.
Jobs & Costing
Job costing with phases and utilisation tracking, created straight from an accepted proposal. Group a job into phases with their own hours and fee budget, then invoice a whole job, a single phase, or just the tasks you pick — with progress billing that never double-bills a task and traces every line back to its task and phase. Work-in-progress — work delivered but not yet billed — surfaces as a dashboard metric that drills through to the unbilled jobs.
Schedule
Book people onto jobs on a day-by-day timeline, with two views over the same bookings: by person, to see who is free, and by job, to see whether it is staffed. Approved and requested leave, weekends and your own public holidays all take the day out, so a booking across a long weekend costs the days it really costs. A full day follows each person's own working week rather than a fixed eight hours. Nothing is blocked — double-bookings, bookings over leave and bookings past a job's deadline are listed as clashes for a person to resolve.
Resource Capacity
See what each person is already committed to before you give them anything else. Open tasks are counted at the hours still left on them and placed in the week they are due, against that person's own working week, so a four-, eight- or twelve-week view shows who is over capacity, who has room, and what is not assigned to anyone yet. Overdue work and work with no due date are listed in their own columns rather than quietly averaged into a week.
Project Portfolio
Every active job on one page, worst first, with a health status that compares the share of the budget spent against the share of the work delivered — so a job that is 60% through its budget with a fifth of the work done is flagged while there is still time to act, and a job finishing on budget is not. Each row carries the client, the lead, the dates and a one-line note you can keep current in place. Jobs with no budget set are counted separately rather than reported as healthy.
Raise a Job From a Won Deal
Not everything gets quoted. When a deal is won on a handshake, a renewal or a phone order, raise the job straight from it in one click — the title, notes, customer, contact and one-off value carry across, filed against the same entity the deal will be invoiced from. Work sold without a proposal still gets a job to book time to, and the deal shows every job delivering it whichever way it was raised.
Timesheets
Time entry against jobs, with a submit-and-approve step before hours are billed and one-click time-to-invoice billing.
One-Tap Time Logging
A start/stop button on the dashboard, on your phone and in the employee portal. Start the clock without choosing a job first, say what you were doing, and file the hours against a task later — so time gets recorded when the work happens rather than reconstructed at the end of the week. Employees without an Allwis login can log hours from the portal too.
Rebuild a Day You Forgot to Track
Pick a day and Allwis reconstructs it from what it already recorded — the meetings you sat in, your calendar, the mail you sent and the records you changed — drawn as a timeline and grouped into blocks you can log with one click, with the client already attached where it knows one. Drag across a block to split a stretch you spent on two clients; each half keeps its own client and task. It only ever reads your own activity, and nothing is stored until you accept it.
See it live — watch the Rebuild a Day You Forgot to Track videoSee the Hours You Forgot to Bill
Your timesheet says which hours you logged; this says which ones you didn't. Allwis compares the week's logged time against the work it can actually see — meetings, sent mail, records you changed — and shows what has nothing booked against it, day by day, before you send the week for approval.
Contractor Self-Billing
Set someone up as a contractor with their own pay rate, supplier record and expense account, and Allwis raises the bill you owe them from their approved hours — automatically on approval if you want it. Issued as a recipient-created tax invoice against the entity that owns the job, with the self-billing agreement and their tax registration recorded on it.
Dispatch
Schedule and assign jobs to the field team.
Tasks
A shared to-do list that threads across deals, jobs and tickets. Assign a task to one person or to several — teammates and portal contacts together — and filter the inbox by task type or by who it belongs to.
Teams
Group employees and contractors into teams — Support, Payroll, the field crew — and hand work to the team instead of naming one person. It lands in every member's inbox, and it follows the team: add someone and they pick up the open work, remove them and it leaves.
Task board
See the same tasks as a board instead of a list, in columns you name yourself — “Waiting on client”, “Ready to review”, whatever your team actually says. Drag a task from one column to the next, choose which column new tasks start in, and reorder or rename columns whenever the way you work changes.
Marketing
Capture demand and nurture it automatically — builders, sequences and ad sync in one place.
Form Builder
Drag-and-drop forms with seven starter templates that feed straight into the CRM.
Instant Lead Alerts
Email, SMS or WhatsApp the moment a form is submitted — and answers can auto-classify the organisation (e.g. Partner Prospect).
Landing Pages
AIA visual landing-page editor with three templates and direct image uploads, published on public URLs. Drop in a pricing table, an FAQ accordion, a comparison table, tabbed sections or a logo strip without touching HTML. Improve a page you already have by describing the change — shorten the hero, add three benefit cards above the form, sharpen the closing call to action — either for the whole page or one section at a time. The rewrite lands in the preview beside you to accept, undo, or keep editing by hand, and nothing goes live until you publish.
See it live — watch the Landing Pages videoBlog
Publish articles on your website: a cover image, a formatted body, and a byline. Visitors browse them as image tiles or a compact list, and open each one on its own page. Drafts stay private until you publish, and every post carries its own search and social-share details. Readers can follow the blog in any feed reader — the RSS feed is published automatically on your own domain, and browsers and readers discover it from the blog itself.
Smart Contact Lists
AIBuild audiences by hand, or describe them in plain language and let AI turn it into a live filter — target contacts by CRM and finance data (contact type, sales stage, lifetime value, overdue invoices) and your own custom fields.
AI Campaigns (Outreach)
AIDescribe your message and let AI draft the email or SMS; pick a list, see exactly who it reaches, review and edit. Built on your CRM data, with consent re-checked before every send.
Outreach Plans
AIThe opposite of a mass send: pick the handful of people worth a personal note, and write each one from what you already know about them. Import your own LinkedIn export — your connections and your message history — and Allwis ranks who to approach on dated evidence: someone who has just changed job, a conversation you never finished, a role that fits. Each draft is shown beside the facts it was built from, so you can check it in seconds, then approve, edit, snooze or reject it one at a time. Nothing is sent automatically; approved text is handed back to you to send yourself.
Email Sequences
Multi-step sequences with branching and A/B testing.
Workflow Automation
A visual builder with ten action types to automate follow-up across the platform.
PPC Sync
Google Ads and Meta Ads spend and performance synced back into reporting.
Helpdesk
Turn inbound questions into tracked tickets your customers can follow.
Ticket Management
Tickets with SLA timers, priority and assignees.
AI Triage & Reply Drafts
AIThe AI prioritises and routes new tickets, and drafts a suggested reply — pulling from similar resolved tickets — for the agent to review and send.
Inbound Email Tickets
Customer emails become tickets automatically via the inbound webhook.
Customer Portal
A public, cookie-less portal where customers raise and track their own tickets — served at a clean per-business link and branded with that entity's name.
See it live — watch the Customer Portal videoCompliance
Meet AU and NZ obligations without leaving the platform.
AML / CTF
Customer due diligence (KYC), risk rating, PEP & sanctions screening, ongoing monitoring and SMR/TTR reporting for AUSTRAC (AU) and DIA (NZ).
See it live — watch the AML / CTF videoGST / VAT Returns
GST/VAT calculated through the ledger and produced as a filing-ready return, on a cash or accrual basis — with the basis stated on the return and its exports.
GST Audit Report
Every GST-coded transaction behind a return, grouped as GST on income, GST on expenses, GST-free and BAS excluded, with a reconciliation back to the return. Exports as its own file or as a second sheet on the return's workbook.
Retrospective Entries
Every record carries the date you typed and the date it was written. This lists the ones where those disagree in a way that matters: an entry written into a period whose return was already lodged, or into a period that was already closed, or more than 90 days after the fact. Whether a period counted as locked is judged as at the day the entry was written, so ordinary catch-up bookkeeping stays quiet.
Director Penalty Exposure
For Australian entities: the unpaid PAYG withholding, GST and super guarantee charge that can be recovered from a director personally, separated into what can still be remitted by reporting it in time and what has already locked down. Shows the date each window closes and attributes every amount to the people who held office when it arose — including directors who have since resigned, and new directors who inherit an unpaid debt after 30 days.
AI, built in
Your configured model works inside every module — scoring, auditing, suggesting and summarising as you go.
Allwis Concierge
AITap Ctrl twice anywhere — or use the Ask button on your phone — to open a command bar that turns plain English, typed or spoken, into a planned, confirm-before-run action across the app, with ready-made example prompts matched to your role. Edit or drop any step before you run it, and multi-step plans link the records they create to each other. It prices what you sell from your own catalogue, accommodation rates and ticket types, so an invoice line lands coded to the right product and revenue account instead of as loose text — and it can hold accommodation dates for a guest, checking availability before anything is written. It reaches the general ledger as well: describe a journal in words and it looks the accounts up, checks the debits against the credits and posts it, or finds an entry you describe by date and reference and reverses it — refusing to reverse one twice. It handles your settings too: ask it to switch the theme, or to give a colleague access to a module, and it makes the change rather than pointing you at the page. It sets events up, with their ticket tiers and seat limits, and it can read the copy off one of your own landing pages first — so “create the event described on the roundtable page” takes the date, the venue and the headcount from the page you already wrote, and leaves the event as a draft for you to publish. It knows your workspace's own names — your entities, facilities and tracking categories — so a half-remembered or misspelt name still lands on the right record. And it plans ahead: ask for a budget or a forecast built from last year's figures and it creates it in Budgets & Forecasts, seeded from your actuals and ready to refine. Ask it to call someone and it puts the call through — ringing your own phone first, then connecting you, and saying up front whether the call will be recorded.
See it live — watch the Allwis Concierge videoDaily Briefing
AIEach morning the AI reads what changed across your business and delivers a short narrative with suggested actions — in the app, and by email if you opt in.
Dashboard Insights
AIThe AI reads your live numbers for the period you're looking at and writes the handful of things worth acting on. Open any one for the reasoning behind it and a button straight to the screen where you fix it.
AI Provenance
AIEvery deal score, commission audit note, email summary, ticket triage and bill audit carries a small chip naming the AI provider and model that produced it — a record of the call itself, not of today's settings, so it stays true after you change providers. Admins open provider settings straight from the chip.
Instant Business Briefing
AIThe moment your data import finishes, the AI reads your books and hands you a state-of-your-business summary — cash position, overdue receivables, top customers, pipeline and a 13-week cash-flow outlook.
Invoice Extraction
AIPDF bills are read and turned into structured invoice data on upload.
Refine Long Documents
AIAsk the AI to check the merge fields, tidy the layout or make the terminology consistent in a contract template, proposal template, help article or compliance program. Each correction is proposed separately with a reason — you accept the ones you want, and nothing changes until you do.
Email Summarisation
AILong threads are condensed to the decision and the next step.
AI Decision Log
AIEvery AI suggestion is logged with retries, a circuit breaker and structured reasoning for auditability.
AI Spend Dashboard
AISee your AI cost, call volume, error rate and spend-over-time by task type and provider, from a durable daily rollup.
AI Spend Budgets
AISet a monthly AI budget for your workspace with an alert threshold, and optionally hard-stop AI calls when the cap is reached.
Per-Task AI Controls
AIEnable or disable individual AI tasks, force PII masking, and cap the output tokens each task may use.
Platform & Admin
Multi-entity, multi-currency and secure-by-default — the foundation under everything above.
Business Health Dashboard
One status page that scans accounting integrity, lodgement deadlines, AML/KYC and access security, ranks every finding by severity, and links straight to where you resolve it.
Search & Voice Navigation
One search box at the top of every page finds deals, organisations, contacts, people, invoices, purchase orders, bank transactions, proposals and any page in the app — narrowed to the section you are in, unless you ask it to look everywhere. Say what you want instead of typing it: press Ctrl+Shift+K or tap the microphone, speak a name or a page, and the results appear as you talk. Press Enter to open the first one.
Mobile App (PWA)
Install Allwis on a phone straight from the browser — no app store, no separate download, and the install steps you are shown match the browser you are actually on. A home-screen app for the people who work away from a desk: today's meetings, your contacts, a running timer and a quick activity note, with the company you are working in switchable from the same screen. Log a site visit end to end — start it, add photos and notes as you go, then capture the customer's signature on the device and close it off. Dictate a note instead of typing it, in your workspace's own language, on the browsers that support it. It needs a connection: there is no offline mode.
Multi-Tenancy & RBAC
Row-level-security isolation per tenant with role-based access control on every module.
Sign-in Approval (MFA)
Every account approves its sign-ins on a device the person holds — a tap with Face ID, Touch ID or Windows Hello, or a QR code approved on their phone — with an authenticator app as the fallback and no text-message or email codes. It is required for everyone, asked for again with a single tap once a day, and an admin can reset it for a teammate who loses their phone.
Protected Client Portal Files
Files on the client portal — documents you share and files clients send you — open only after the client confirms it's them with a passkey on their phone or computer, once a day. When you share a document you choose one named person or everyone at the organisation, and see exactly who that is before you press Share; tax returns and BAS default to one person.
Entity Colours
Every company in a group gets its own colour, so which one you are working in is obvious at a glance rather than a word in a pill you have stopped reading. The colour appears on a strip above the top bar, on the entity switcher and beside every entity in the list. Colours are assigned automatically — including to companies that share one group brand, which is exactly where a brand colour cannot tell them apart — and each one is checked to stay readable on all three themes and distinct from the success and error colours. Turn it up to add a rail down the side of the app and the company's name under every page title, choose a specific colour per company, or switch it off; each person can override the workspace default for themselves.
Login Recovery
Move your sign-in address when the old mailbox is gone. Confirm from the new address with your password — no link to click in an inbox you can't open. If you're locked out entirely, an admin on your team can start it for you, and the old address is always notified with a one-click cancel.
Bring-Your-Own AI & Data Governance
Choose your AI at sign-up: paste one provider key or several — every key is verified with a live test call before it is saved — plan a self-hosted model, or skip and start on an included monthly Claude Haiku allowance — no key required. Point AI features at your own provider key or a self-hosted model anytime. Turn on self-hosted-only mode to keep prompt data on infrastructure you control, or disable the shared-model fallback so a request fails closed rather than leaving your boundary.
Self-Hosted AI Connector
Run a model on your own network without exposing it to the internet. A small agent beside your model dials out to Allwis over HTTPS — no inbound port, no firewall change, works behind NAT. Works with Ollama, LM Studio, vLLM, or anything speaking the OpenAI chat-completions format. Install it from inside Allwis: download one file for Windows, macOS or Linux and it installs the model server, downloads the model, and sets itself up to start with the machine. Benchmark your own model against the cloud providers on the same tasks before you route production traffic to it.
Ask For A Report
AIType what you want to see in plain English and get it back as a chart and a table straight away — no builder, no publishing step. Follow-ups work on what is already on screen ("only this quarter"), and every answer shows the query behind it. It can only reach the parts of your data your own permissions already cover, so an answer never contains something you could not have opened yourself. Admins can keep a good one as a published report.
See it live — watch the Ask For A Report videoBoard Reports
Assemble a board pack from the reports you already run — profit and loss, balance sheet, cash flow, trial balance, budget vs actual and the consolidation workpaper — with your own commentary between them. Building runs the reports and keeps the figures, so the pack still says what the board saw; issuing freezes it. Anyone reading it can click a figure to leave a note on it or open the live report behind it, and a note left in the pack shows up against the same figure on the report itself. Send it to directors who have no Allwis login with a link that opens without one, expires, and can be revoked — it shows the issued figures and nothing behind them. Save the running order as a template and have next month’s draft built and waiting, with the figures already run; a commentary section can be drafted from the pack’s own figures, for you to edit before anyone sees it. Export the whole pack as a PDF or a workbook.
Custom Reports & Dashboards
Build dashboards and custom reports over your own data, with defined audiences. Define your own KPI metrics — filtered aggregates or formula calculations that combine existing metrics, like Profit = Revenue − Total Expenses — and pin them to your dashboard.
See it live — watch the Custom Reports & Dashboards videoBranding
Your logo and identity across portals, proposals, invoices and emails. Suggested heading/body font pairings — modern, editorial, friendly, classic and minimal — ranked against your palette and site copy, one click to preview and apply.
Themes & Colour Vision
Three base themes — brand, classic and light — offered during setup and changeable any time, saved per browser rather than imposed on everyone. A red–green colour-vision setting moves the status green onto teal, so a paid line and an overdue one don't read alike for anyone who can't separate green from red.
Guided Setup
A setup hub tracks your configuration progress automatically — chart of accounts, tax rates, team, payroll, banking — with a dashboard progress nudge and step-by-step guidance on every module's first-run screen.
Playbooks
A "Make the most of Allwis" hub tells the story of shipped workflows — like fully automated supplier bills — in three steps each, detects when a workflow is live in your workspace, and deep-links to where you switch it on.
ABN Lookup Auto-fill
Search the Australian Business Register during setup — legal name, ABN, business structure and GST status auto-fill and verify as you type.
Integrations
Xero, Zoho Books and QuickBooks Online migration, Microsoft Outlook, Stripe & Stripe Connect, Wise, Google Places, Proxycurl and Resend.
Developer API & MCP Server
Public REST API with an OpenAPI 3.1 spec, scoped tokens, batch imports and idempotent retries — plus a Model Context Protocol endpoint so AI agents can drive migrations and integrations as tool calls.
